Privacy Policy
The short version. DocSensei scans, filters, reads and sorts your documents on your phone. Your documents only leave your phone if you sign in to a Premium account with cloud backup on, which you can switch off at any time. We use Google Firebase to run the app (sign-in, backup, analytics, crash reports, notifications), Google AdMob to show ads in the free version, and Google Play and RevenueCat for purchases. We never send your document content, titles, notes or recognized text to analytics, and we don't sell your data.
1. Who we are
DocSensei is a document scanner app for Android, developed and published by Innovare App Developers ("we", "us"). We are responsible for the personal data described in this policy. You can reach us at innovareappdevelopers@gmail.com.
This policy covers the DocSensei Android app and this website, docsensei.innovarestudio.com.
2. What stays on your phone
The core of DocSensei runs entirely on your device and does not need an internet connection:
- Camera. We use the camera only to capture the documents you scan. Photos are processed on the device.
- Scanning and filters. Edge detection, perspective correction, cropping and filters run on the device.
- Text recognition. Reading the text in your scans (using Google ML Kit's on-device recognizer) happens on the device. The recognized text is stored with your document on your phone and is never uploaded, not even by cloud backup.
- Smart categories. Sorting documents into receipts, invoices, IDs and so on happens on the device.
- Signatures. Signatures you create are saved in the app's private storage on your phone.
- Fingerprint and face unlock. App and folder locks use Android's own biometric prompt. We never receive your fingerprint, face or screen-lock data; Android only tells the app whether you were verified.
Your documents are kept in the app's private storage, which Android keeps separate from other apps. They stay there until you delete them or uninstall the app. When you choose Save to Device, a copy is saved to your phone's Downloads folder or photo gallery, where other apps you've allowed can see it.
3. What we collect and why
| Data | When | Why |
|---|---|---|
| Account details: email address, the name you enter, account creation date, password (stored only as a secure hash by Google Firebase Authentication) | Only if you create an account. You can use DocSensei without one. | To sign you in and run cloud backup. |
| Cloud backups: page images, the document PDF and preview image, and document details: title, size, dates, tags, notes, category, folder, filter and crop settings, and whether it is locked. Folder names, colors, icons and structure. | Only if you are signed in, have Premium and Auto Cloud Backup is on. Auto Cloud Backup is on by default for signed-in Premium users and can be switched off in Settings. | To back up your documents and restore them on a new phone. |
| Premium status: whether your Premium is active and when the current period ends, copied to your account from Google Play's purchase record (via RevenueCat). | Only if you are signed in to an account. | So the web dashboard at docsensei.innovarestudio.com/app knows to show your backups. |
| Usage data: which features you use (for example "scan saved", "tool opened", "filter applied"), screens viewed, app settings such as language and theme, whether you have Premium, a rough range of how many documents you have, and the use you chose during setup (such as "receipts" or "school"). | When you use the app. | To understand which features matter, fix confusing flows and improve the app. |
| Device and app data: device model, Android version, app version, language, a random app-instance identifier, and approximate country derived from your IP address by Google. | When you use the app. | Analytics, crash diagnosis, remote configuration and compatibility. |
| Crash reports: technical details of an error (stack trace, device state at the time). | When the app crashes. | To find and fix bugs. |
| Purchase data: the plan you bought, price, currency, purchase and renewal status, and an anonymous purchase ID (or your account ID if signed in). | When you start a free trial or buy Premium. | To unlock Premium, restore purchases and prevent fraud. |
| Push token: a device token from Firebase Cloud Messaging. | When you allow notifications. | To send notifications about the app, such as new features, tips and offers. |
| Advertising data: your device's advertising ID, IP address and device information, collected by Google AdMob. | In the free version, when ads are shown. | To show ads, measure them and limit how often you see them. See Advertising. |
| Support emails: your email address and what you write to us. | When you contact us. | To answer you. |
What we never send to analytics, crash reports or advertisers: your documents or images, document titles, file names, notes, tags, recognized text, search terms, email address or password. When you search, analytics only records how long the search term was, not what it was.
4. Service providers
We use these companies to run DocSensei. They process data on our behalf, or under their own terms where stated:
- Google Firebase (Google LLC / Google Ireland Ltd): Authentication, Cloud Firestore and Cloud Storage (account and backups), Analytics, Crashlytics, Cloud Messaging and Remote Config. Firebase privacy
- Google AdMob: ads in the free version. How Google uses data from apps that use its services
- Google Play: app distribution, payments and in-app reviews. Google processes your payment details; we never see your card number. Google privacy policy
- Google ML Kit: on-device text recognition. Your images are not sent to Google for recognition.
- RevenueCat, Inc.: manages subscriptions and checks your Premium status. RevenueCat privacy
We may also disclose data if the law requires it, to protect the rights and safety of our users or others, or as part of a merger or sale of the app, in which case this policy continues to apply. We don't sell your personal data.
5. Advertising
The free version of DocSensei shows banner, full-screen, rewarded, app-open and native ads from Google AdMob. Premium removes them. AdMob uses your device's advertising ID and similar information to show ads, measure them, and, where allowed, personalize them based on your activity across apps.
You can limit this at any time: on Android, go to Settings → Privacy → Ads (or Settings → Google → Ads) and delete or reset your advertising ID. In some places, personalized advertising counts as "sharing" or "targeted advertising" under privacy law; deleting your advertising ID opts you out.
In the EEA, the UK and Switzerland, we ask for your consent before ads are personalized, and you can change your choice at any time in the app under Privacy & Security → Ad privacy choices.
6. Legal bases (EEA, UK and Switzerland)
- Contract: running your account, cloud backup and Premium.
- Legitimate interests: analytics, crash reports, security, fraud prevention and non-personalized ads that keep the free version free.
- Consent: notifications and personalized advertising. You can withdraw consent at any time.
- Legal obligation: keeping purchase records where tax law requires it.
7. How long we keep data
- Documents on your phone: until you delete them, clear the app's data or uninstall it.
- Cloud backups and account details: until you delete the backup or your account. When you delete a document on your phone, its backup moves to Recently deleted and is erased 30 days later, or straight away if you delete it there. Account deletion removes them from our systems right away; copies in Google's backups are erased within their normal backup cycle.
- Analytics data: kept by Google Analytics for up to 14 months, then deleted automatically.
- Crash reports: kept by Firebase Crashlytics for 90 days.
- Purchase records: kept by Google Play and RevenueCat as long as needed for billing and as required by law.
- Support emails: as long as needed to help you, and up to two years after.
8. Security
Data sent between the app and our providers is encrypted in transit (HTTPS/TLS). Firebase stores data encrypted at rest, and our security rules only let each signed-in user read and write their own backups. On your phone, documents are kept in the app's private storage, and you can lock the app, folders or individual documents behind your fingerprint, face or screen lock.
Please note: backups are not end-to-end encrypted, and locked documents are backed up like other documents. No system is perfectly secure, so keep your phone protected with a screen lock and keep copies of documents you can't afford to lose.
9. Your choices and rights
- Turn off cloud backup: switch off Auto Cloud Backup in Settings. You can delete individual backups in the app's Cloud Storage screen.
- Delete your account: in the app, go to Me → Privacy & Security → Delete Account. This deletes your account and all your cloud backups. You can also ask us to delete it.
- Notifications: turn them off in Android's settings for DocSensei.
- Ads: delete or reset your advertising ID as described in Advertising, or upgrade to Premium.
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal data, to object to or restrict its processing, and to withdraw consent. California residents have the right to know, delete, correct and opt out of the sale or sharing of personal information, and we won't treat you differently for using these rights. To use any of these rights, email innovareappdevelopers@gmail.com. We answer within 30 days. If you're in the EEA or UK, you can also complain to your local data protection authority.
10. International transfers
Our providers may process data in the United States and other countries. Where data leaves the EEA, UK or Switzerland, they rely on safeguards such as the EU Standard Contractual Clauses and the EU–US Data Privacy Framework.
11. Children
DocSensei is not directed at children under 13 (or the minimum age in your country), and we don't knowingly collect their personal data. If you believe a child has given us personal data, contact us and we'll delete it.
12. Changes and contact
If we change this policy, we'll update the date at the top and, for important changes, tell you in the app before they take effect.
